TERMS & CONDITIONS
STYLE & CREATIVE CONTROL
By booking a photography session, the client confirms that they are familiar with the photographer’s portfolio and accepts the photographer’s artistic style, editing and creative approach.
The selection of final images is made by the photographer.
Raw (unedited) files are never delivered.
No additional editing, filtering, retouching or alterations may be applied to the delivered images without prior written permission from the photographer.
ARTIFICIAL INTELLIGENCE (AI) USE
The use of artificial intelligence (AI) tools in relation to the delivered images is not permitted without prior written consent from the photographer.
Images may not be uploaded, processed or used for AI training, generation, manipulation or creation of derivative works without prior written permission.
CLIENT DATA & PRIVACY
Client information is collected and processed solely for communication, booking and delivery of services.
Personal data is stored only for as long as necessary to maintain the client relationship and fulfil legal or accounting obligations.
Personal data is not shared with third parties without consent, unless required by law.
SESSION CONDITIONS
Sessions may take place outdoors, in a studio or at an agreed indoor location.
The photographer retains creative direction during the session.
Parents or guardians are responsible for children during the session and for any damage caused to equipment or the location.
DELIVERY
The final curated gallery will be delivered within 3–10 weeks, unless otherwise agreed.
Images are delivered in digital format via a private online gallery.
The photographer is not responsible for image storage after three months from delivery.
PAYMENT TERMS
All prices include VAT (25.5%), unless otherwise stated.
A non-refundable booking fee of 30% is required to secure the session date.
The booking fee is deducted from the final invoice.
The remaining balance must be paid before delivery of the final gallery.
In case of cancellation by the client, the booking fee is not refunded.
Full payment is required for cancellations made less than 48 hours before the session.
Travel outside the Helsinki metropolitan area is charged according to current Finnish mileage compensation rates.
COPYRIGHT & USAGE
All images remain the intellectual property and copyright of Victoria Olonen.
Payment for photography, editing or delivery of images does not constitute a transfer of copyright or unrestricted usage rights.
The client receives only the usage rights expressly agreed in writing between the photographer and the client.
Unless otherwise agreed in writing, the licence is personal and non-commercial.
Images may not be:
- sold;
- submitted to competitions;
- used for commercial or promotional purposes;
- altered, filtered or otherwise modified;
- transferred, sublicensed or provided to third parties.
COMMERCIAL & BRAND PHOTOGRAPHY
For commercial and brand photography, the permitted usage is limited to the channels, purposes, territory and duration expressly agreed in writing between the photographer and the client.
Commercial usage requires a separate written agreement or clearly documented written approval specifying the agreed usage.
Unless expressly agreed in writing, the client may not provide, transfer, sublicense or otherwise make the images available to third parties, including:
- retailers, resellers or distributors;
- business or collaboration partners;
- hotels, venues or event locations;
- agencies or other companies;
- media or publications;
- other brands or businesses.
Third parties may not use the images for their own marketing, advertising, social media, websites, webshops, campaigns, publications or other promotional purposes without prior written permission from the photographer.
Permission for the client to publish images on their own social media channels does not automatically grant permission to third parties to use the images on their own social media channels or in their own marketing.
Any usage outside the agreed scope must be approved by the photographer in writing before publication or use and may be subject to an additional licensing fee.
Additional commercial usage rights may be licensed separately depending on the scope of use, including the number of images, channels, territory, duration and type of marketing.
CREDIT
When images are published online, credit to Victoria Olonen / @victoriaolonen must be included.
Where reasonably possible, the photographer should also be credited in printed publications, editorial features and other public uses of the images.
PHOTOGRAPHER’S USAGE RIGHTS
The photographer reserves the right to use delivered images for their portfolio, exhibitions, website, social media and other self-promotional purposes, unless otherwise agreed in writing.
If a client requires images to remain private or not to be used for promotional purposes by the photographer, this must be agreed in writing before or at the time of booking.
LIABILITY
In the unlikely event of equipment failure, illness or other unforeseen circumstances preventing the photographer from completing the assignment, the photographer’s liability is limited to the amount paid by the client.
The photographer is not responsible for circumstances beyond their reasonable control, including weather conditions, location restrictions or third-party interruptions.
AGREEMENT
By booking a photography session or commercial photography service, the client confirms that they have read, understood and agreed to these Terms & Conditions.
For commercial and brand photography, any specific usage rights agreed separately in writing between the photographer and the client take precedence over the general usage provisions of these Terms & Conditions.
